Electronic Submission

As of May 8, 2013, all IRB submissions must be completed electronically through the online system of IRBManager.

You can log in to IRBManager with your username and password. New studies must be submitted to the SH IRB using the electronic system, IRBManager. Log into IRBManager or copy and past this link

Need a log-in for IRBManager?

If you have never done research at Spectrum Health before, you will need to create a profile in IRBManager. To do this, follow these steps:
  1. Go to
  2. User name: newuser
  3. Password: newuser
  4. Client: spectrumhealth
  5. Click “Login.”
  6. Select “Investigator” at the next screen, then click “Next.”
  7. From here, create your own user name and password, and fill in the rest of the fields.
  8. Once complete, your account will be created and you can be added to research studies and submit documents for IRB review.

Forget your IRBManager password?

If you lost or forgot your password, follow these steps:
  1. Go to
  2. Select “Forgot Password?”
  3. Enter the email address associated with your IRBManager account, and enter “spectrumhealth” for the Client ID. (If you are unsure which email address is associated with your IRBManager account, email for additional assistance.)
  4. Click “Retrieve.”
  5. You will receive an email with your user name, a temporary password, and the client name. Upon logging in with this information, you will be forced to change your password.

xForm Status Definitions

  • xForm Data Entry: The user is still entering information into the xForm. It has not been signed by the principal investigator nor started the IRB review process.
  • Awaiting Investigator Signature: All questions in the xForm have been answered, but it must be signed by the principal investigator before it can move to the next stage.
  • Awaiting COI Signatures: Study personnel must log into IRBManager to certify that they have reported any potential conflicts of interest related to the research. The xForm will stay in this stage until all personnel have done this.
  • Awaiting IRB Acceptance: All required signatures have been obtained. The signed xForm has been forwarded to the Office of the IRB, but it has not yet been accepted for IRB review.
  • Under IRB Review: The xForm has been accepted by the Office of the IRB and is being reviewed.
  • Complete: The xForm has been reviewed and approved by the IRB, and no further action is needed.
  • xForm in Error: There is a technical problem with the xForm. Contact the Office of the IRB for additional assistance.
